How to use a list well

  1. Send from your own mailbox, under your own name. A normal Gmail, Outlook or Workspace inbox, not a bulk email tool. People reply to people.
  2. Start slow: 10 to 20 a day. More than that from one mailbox tends to land in spam and can get your domain flagged. The list will still be there next week.
  3. Write the first line yourself. Search the agent's name and brokerage. Their profile or website usually shows their area, a recent listing or something they're known for. One real sentence about them does more than any template.
  4. Only say what's true. Edit everything in [brackets], and cut any line that doesn't fit you. If a template promises something you don't do, change it.
  5. Follow up once, then stop. About a week later, as a reply in the same thread. No reply after that means no.
  6. Honour every opt-out, for good. Keep a simple do-not-email list and check it before every send.
  7. Never buy and blast. Sending the whole file at once is the fastest way to burn your domain and annoy the people you want to work with.
  8. Use the phone column for calls only. Texts fall under Canada's anti-spam law and automatic dialing under the CRTC's telemarketing rules, so don't load these numbers into a texting or dialing tool.

What to expect: most people won't reply, and some will say no. That is normal, and it is not a sign the list is wrong. These templates are a starting point, not a promise of results.

Mortgage agents and brokers

You want agents to think of you when a buyer needs financing. Introduce yourself, say what you're good at, and ask for a short call. Don't offer gifts or free marketing in exchange for referrals.

A good part of my work is helping buyers who were turned down somewhere else: self employed people, people with a short credit history, people with an unusual down payment. If you have a buyer like that, I'll look at their file and tell them honestly whether I can help.

Brokerage recruiters

You want good agents to know your brokerage exists before they decide to move. Be respectful of where they are now, make it clear there's no pressure, and ask for a coffee rather than a meeting.

I'm not asking you to move. I'd just like to introduce myself, since agents in [city] tend to cross paths sooner or later. If you ever want a second opinion on splits, fees or the support you get, I'm glad to share how we do things, with no pressure either way.

Even if you're happy where you are, you're welcome to join [an event or session you host]. It's a good way to meet other agents in [city], and there's nothing to sign.

Congratulations on [their award or milestone, e.g. making Platinum Club this year]. That takes real work, and it doesn't happen by accident.

If you'd ever like to compare notes, I'd be glad to buy you a coffee. No presentation, just a conversation about the business.

Photographers, stagers, inspectors and real estate lawyers

You want to be the name an agent calls for their next listing or closing. Show one piece of real work, say how fast you turn things around, and make it easy to say "not now".

I shoot listing photos in [city] and I noticed [one detail from their profile page, e.g. your listing on Oak Avenue].

I'm [your name] of [your company]. I deliver [what you deliver, e.g. edited photos within a day, plus floor plans if you need them], and I work around the seller's schedule so you don't have to. Here is a recent shoot so you can judge the work for yourself: [link to one example].

If you have a listing coming up, I'd be glad to quote it. And if you already have a photographer you like, that's completely fine, and I won't keep emailing you.

Software, marketing, signs, printing, coaching, insurance: whatever you sell, lead with the one problem you solve for agents, show you looked at their page, and make it easy to say no.

One follow up

Pick one and send it once, about a week later, as a reply in the same thread. Then stop.

If [your service] isn't useful to you right now, a one word reply is completely fine, and I won't write again.

If it is useful, I'm around [days or times that suit you] for a short call, or I can send a bit more detail by email, whichever is easier for you.

Add a footer to every email

Canada (CASL)
  • Identify yourself and your business, with a mailing address and a phone number, email address or website that will still work for at least 60 days.
  • Only email addresses published for business use, only about their work, and skip anyone whose page says they don't want unsolicited messages.
  • An unsubscribe that works for at least 60 days, honoured within 10 business days.
  • Keep a note of where you found each address. Under CASL it is your job to show why you were allowed to send.
United States (CAN-SPAM)
  • Your real name and business in the From line, and a subject line that matches the email.
  • A valid postal address in every email: a street address, a PO box, or a registered private mailbox.
  • A clear way to opt out, and honour it within 10 business days. Once someone opts out, never email them again.
  • It has to be clear the email is a business offer. These templates are written that way; never dress one up as a personal note or a fake reply.
